Every visit

Weekly
- Wipe clear desks and monitors' stands. Desks with papers are usually left as they are.
- Vacuum all carpeted areas, including under clear desks and around chairs.
- Wipe meeting-room tables, chairs and whiteboard ledges.
- Clean internal glass, partitions and glass doors.
- Clean inside the microwave and wipe kitchen cupboard fronts.
- Spot-clean marks on walls and doors in busy areas.
Monthly
- Dust high surfaces: tops of cupboards, door frames, picture frames and vents.
- Clean inside the fridge, with staff warned first so food can be sorted.
- Wipe window sills and dust blinds.
- Detail clean bathroom walls, partitions and behind toilets.
- Wipe skirting boards throughout.
A few times a year
- Carpet steam cleaning. Most offices do it once or twice a year, and busy walkways more often.
- Tile and grout cleaning in bathrooms and kitchens.
- Machine scrubbing or polishing of hard floors.
- Pressure cleaning of entries, paths and car parks.
- Upholstery cleaning for meeting-room chairs and reception seating.
- External window cleaning, which is usually done by a specialist when windows are above ground level.
What an office checklist usually doesn't include
- Moving personal belongings or papers on desks.
- The inside of IT equipment, or unplugging it.
- Washing dishes, unless it's written into the plan.
- Moving heavy furniture.
- Outside glass at height.
- Rubbish removal from site, pest control and repairs.
Writing these down avoids arguments later. If you want any of them, add them to the plan and the quote.
Turn the checklist into a plan
- List every area of the office, including storerooms and the car park if they need cleaning.
- Pick a frequency for each task from the lists above.
- Set the days and the time window.
- Decide who supplies consumables.

Tip: stick the plan inside the cleaners' cupboard. When everyone works from the same list, nothing gets skipped.
